VENDING MACHINE BASICS
What types of vending machines do you offer?
Service With A Smile offers a wide range of vending machine options to suit different workplaces, locations and product requirements. Options include snack vending machines, drink vending machines and combination machines that can offer snacks, drinks and meals from one machine.
What products can I put in a vending machine?
You can choose from a wide range of products including cold drinks, snacks, confectionery, chips, protein products, healthier options and ready-to-eat meals. Service With A Smile can also provide products to suit different dietary, cultural and nutritional requirements.
You can select the products yourself or have our team recommend a product mix based on your workplace and the people using the machine.
Can vending machines accept cashless payments?
Yes. Modern Service With A Smile vending machines support a wide range of cashless and digital payment options, including Tap & Pay, Apple Pay, Google Pay, Samsung Pay, PayPal and other payment systems.
Cash, coins and notes can also be accepted on suitable machines, giving customers and employees a choice of payment methods.
How much space does a vending machine require?
As a general guide, you will typically need around 1 square metre of space for a vending machine, preferably on ground level with suitable access for installation and servicing.
The exact space required depends on the machine selected. Our team can assess your available space and recommend equipment that fits your location.
How much power does a vending machine use?
Modern vending machines are designed to be energy efficient. Our latest machines feature green power technology, LED lighting, refrigeration controls and sleep mode to reduce unnecessary power consumption.
The amount of electricity used depends on the type of machine, whether refrigeration is required and the environment in which it operates. A standard power outlet is required.
How long does installation take?
Installation time depends on the machine selected, your location and access requirements. Once everything has been confirmed, we arrange a suitable installation time and take care of the process from delivery through to setup.
Our installation team is fully insured and can handle challenging access situations, including narrow doorways and stairs.
How much does a vending machine cost?
For eligible businesses, Service With A Smile vending machines are provided at no upfront cost. Consultation, equipment, installation, stocking and servicing are all managed by Service With A Smile, so you do not receive an invoice for these services.
There is no equipment purchase or installation fee. The machine is provided as part of our fully managed vending service.
VENDING MACHINE PRODUCTS
What products can I stock?
You can stock a broad range of products including soft drinks, water, juices, energy drinks, protein drinks, snacks, chocolate, chips, breakfast products and ready-to-eat meals.
The range can be built around the people using your machine, whether you want traditional vending favourites, healthier choices, premium brands, meals or a combination.
Can I offer healthy vending options?
Absolutely. Healthy vending is a major part of modern workplace vending and we can provide a selection of healthier food and drink options.
Depending on your requirements, options can include healthier snacks, protein products, reduced-sugar drinks, vegetarian choices and other products designed to provide a more balanced range.
Can you provide fresh meals?
Yes. Service With A Smile offers ready-to-eat meals suitable for breakfast and lunch, as well as a range of other food options.
Meal choices can include different cuisines and dietary styles, allowing your vending facility to provide more substantial food rather than simply snacks and drinks.
Can you cater for dietary requirements?
Yes. Product selections can be customised to cater for a wide range of dietary and cultural requirements.
Depending on availability and your requirements, options can include gluten-free, vegetarian, vegan, diabetic-friendly and other specialised products. We can discuss your requirements and build a suitable product range.
Can you customise the product selection for our workplace?
Yes. Product selection is one of the areas where we can customise the vending service around your workplace.
You can choose your preferred products, or our team can recommend a selection based on your staff, industry, location and existing demand. Product selections can also be changed as preferences develop.
How do you decide which products to stock?
We look at a combination of factors including the type of workplace, number of people using the machine, working hours, location and the products people actually want to purchase.
We can also use feedback from your staff and sales information to adjust the product mix. The goal is to provide products that are relevant to your workplace rather than taking a one-size-fits-all approach.
How important is the location of a vending machine?
Location is important because accessibility and usage can have a significant impact on the success of a vending facility. High-traffic areas and convenient staff locations generally provide better access to the people who will use the machine.
Our team can provide advice on the best location based on your workplace, available space, access and expected usage.
INSTALLATION, SERVICE & SUPPORT
Who installs the vending machine?
Service With A Smile manages the installation of your vending machine. Our installation team is fully insured and experienced in dealing with difficult access situations, including narrow doorways, stairs and other challenging locations.
The equipment is prepared, tested and ready to go before installation.
How often is a vending machine restocked?
Vending machines are generally replenished every week with fresh stock. However, restocking can be managed according to the usage and requirements of each location.
Our vending machines provide much more than basic stock monitoring. Back-to-base technology gives operators real-time visibility of sales and stock levels, while product-delivery detection helps identify whether a product has successfully vended.
The system also enables remote diagnosis and resolution of issues, including remote refunds and support. Where required, support staff can even remotely trigger the machine to vend a replacement product, helping resolve customer issues quickly without requiring an on-site visit.
What happens if the machine breaks down?
If a machine develops a fault, our technical support team can diagnose the problem and arrange the appropriate response. In some situations, issues can be resolved remotely without requiring a technician to attend.
If a customer has paid but the machine has failed to dispense their product, our support team can also assist with the appropriate refund or resolution.
How quickly are vending machine faults addressed?
Many customer issues can be resolved remotely in a few minutes, without waiting for a technician to attend the machine. Using SWAS remote support technology, the team can diagnose issues, process refunds and, where required, remotely vend a replacement product.
For issues that do require an on-site response, Service With A Smile aims to have a service response time of less than four hours. Modern equipment provides high reliability, with remote monitoring and technical support helping to minimise downtime. For urgent assistance, customers can contact our 24-hour support line.
Do you provide 24/7 support?
Yes. Service With A Smile provides 24/7 technical support for vending machine issues.
For assistance, call 1800 43 49 48.
Who pays for maintenance and repairs?
For our managed vending service, maintenance and servicing are handled by Service With A Smile. You do not receive an invoice for routine servicing, maintenance or the vending equipment provided as part of the service.
Our aim is to make vending completely hassle-free for your business.
FOOD SAFETY & PRODUCT MANAGEMENT
How do you monitor product expiry dates?
Product management is part of our ongoing vending service. Stock is monitored during replenishment and servicing, with products managed to help ensure appropriate stock rotation and quality.
Our team also monitors the range being sold so that products can be managed according to demand and shelf life.
How often are vending machines cleaned and sanitised?
Machines are cleaned and maintained as part of the ongoing servicing process. The frequency can vary depending on the type of machine, products stocked, location and usage.
Our team takes responsibility for maintaining the vending equipment so it remains clean, functional and suitable for use.
How do you manage products that aren't selling?
Product performance is monitored so that slow-moving products can be identified. If something isn’t proving popular, we can adjust the product selection and replace it with alternatives that are more suited to your workplace.
This flexible approach helps ensure the machine remains useful rather than continuing to stock products that people don’t want.
How do you ensure products are stored appropriately?
The type of vending equipment is selected according to the products being offered. Refrigerated machines can be used where temperature-controlled storage is required, while appropriate equipment and temperature controls help maintain product quality.
Some modern machines also feature electronic temperature monitoring and controls designed to help protect temperature-sensitive products.
What happens if a product reaches its expiry date?
Products are monitored as part of the regular stocking and servicing process. Products approaching or reaching their expiry date are managed appropriately and are not intentionally left available for sale beyond their suitable date.
Stock rotation and product selection are also adjusted where necessary to reduce unnecessary product waste.
Who is responsible for the vending machine?
Service With A Smile manages the vending facility for you. This includes supplying the equipment, installation, product selection, stocking, servicing and technical support.
The objective is simple: you get the benefit of a fully managed vending facility without having to manage the machine yourself.
